Going on Extended Leave? Workday Will Remind You to Suspend Your Cards!


In our summer cardholder communication and procurement newsletter, we introduced the best practice of suspending cards while on extended leave.  Now, Workday will remind you to suspend your cards with a “To-Do” item!

Cardholders who request a leave of absence of 60 days or more will receive this “To-Do” item in their My Tasks list in Workday:

If you’re planning to take extended leave, please complete this Smartsheet form to request a temporary suspension of your card. Reactivation is quick and easy when you return. If you complete the Date Leave Ends field on the Smartsheet, we’ll use that information to automatically end the suspension. If you’re unsure of your return date, simply email cardservices@iastate.edu when you’re back, and we’ll reactivate your card promptly.  

If the leave of absence request is routing after the cardholder’s leave has started, the cardholder’s manager will receive a similar “To-Do” item.

Suspending cards while on extended leave can:

  • Prevent unauthorized or accidental charges. 
  • Reduce the risk of fraud. 
  • Simplify transaction processing for both cardholders and the finance delivery team. 
  • Ensure peace of mind during time away from work. 

A friendly reminder to reconcile any outstanding transactions prior to your leave of absence.
