Preparing for Fiscal Year End?
Here are some dates to keep in mind!
Preparations for fiscal year end have begun and Procurement Services would like to make sure you are aware of these upcoming dates:
April 28th
Bids need to be requested by this date, so that they have the potential to be included in FY23 business (this includes sole source requests). All items must still be delivered and paid for by June 30th to be included as FY23 business.
June 15th
Non-Catalog Requisitions need to be submitted by this date to have the potential to be included in FY23 business. Purchase orders (POs) must be issued, received, invoiced, approved, and paid by June 30th to be included as FY23 business. Please remember that some items (e.g., furniture, promotional items, lab equipment) may have longer lead or shipping times and should be ordered as early as possible to ensure they will be received and paid by June 30th.
June 20th
P-Card Transactions need to be made by this date to have the potential to be included in FY23 business. Transactions must be posted and the PCV must be fully approved in Workday by June 30th to be included as FY23 business.
T&H Card Transactions need to be made by this date to have the potential to be included in FY23 business. Expense reports must be fully approved in Workday by 5 PM on June 29th to be included as FY23 business.
cyBUY Orders for in-stock items need to be completed by this date to have the potential to be included in FY23 business. The PCV for cyBUY orders must be approved by June 30th to be included as FY23 business.
June 30th
Payment for POs and Invoices on Supplier Contracts (SCNs) need to be made by this date to be included in FY23 business. The wire payment deadline is Noon. The deadline for all other payment types is 3:00 PM.
P-Card Verifications and Approvals need to be approved by 5 PM on this date to be included in FY23 business. Any P-Card transaction that has not received final approval in Workday by 5:00 PM will post to July and FY2024.
cyBUY PCVs Approvals need to be approved by 5 PM on this date to be included in FY23 business. Any cyBUY purchases that have not received final approval in Workday by 5:00 PM will post to July and FY2024.
POs and Change Order Approvals need to be approved by 5 PM on this date to be included in FY23 business. Any POs or Change Orders that have not received final approval in Workday by 5:00 PM will post to July and FY2024.
